Position Summary: This position requires knowledge of Medicare & Medicaid programs, as well as specific programs related to Long Term Care.  Must be a self-starter, well organized and thorough in work habits. Position also requires good accounting practices knowledge, along with excellent customer relationship skills.

Summary of Essential Job Functions:

  • Charting Software:
    1. Must handle medical billing meeting requirements of State and Federal Regulations, and Fairlawn Policies/Procedures;
    2. Work within our charting software for accounts receivable processing;
    3. Ensures that all billing is processed in a timely manner for proper reimbursement;
    4. Organize/maintain statistics relating to admissions, discharges, deaths, transfers & daily census.
  • Processing Requirements:
    1. Manage all aspects of the Revenue Cycle;
    2. Coordinate and prepare billing setup;
    3. Coordinate monthly Triple Check process;
    4. Maintain accurate monthly billing for proper codes and diagnosis;
    5. Submit monthly electronic claims to Medicare/Medicaid, Managed Care and Insurance companies;
    6. Be accountable for monthly accounts receivable balances. Post cash within 24 hours of receipt.
  • Accountabilities:
    1. Follow up on denied and/or rejected claims. Reconcile the claim and resubmit it until the claim is paid in full;
    2. Assist with month end closings;
    3. Communicates Collection of accounts that could be a problem. Make collection calls and send collection letters. Analyze Bad Debt & recommend write-offs;
    4. Maintains confidentiality and adheres to all HIPAA guidelines and regulations;
    5. Maintain current knowledge of billing regulations;
  • Additional Duties:
    1. Obtain & submit all required documentation to follow nursing home Medicaid applications and renewals. Assist families throughout the Medicaid process and seeing the cases through to approval;
    2. Back up for Admissions process;
    3. Back up for Insurance Verifications;
    4. Oversee Resident Trust Accounts;
  • In-Services, Training and Education: Attend and participate in scheduled training, in-services, and educational classes to maintain current certification as mandated by Fairlawn Haven and State of Ohio.

Secondary Job Functions or Responsibilities:

  • Attend all stand up meetings daily;
  • Answers telephone as a backup to the receptionist if needed;
  • Participate in weekly rehab therapy meetings;
  • Ensures that customers and families receive the highest quality of service in a caring and compassionate atmosphere which recognizes the residents needs and rights;
  • Work cooperatively with the clinical aspects of billing.

Other duties as assigned:  Perform additional tasks as requested. 

Minimum Requirements:  

  • A minimum of an Associate’s Degree is preferred but not required;
  • Accountable for results and reduction of A/R;
  • Demonstrate the ability and willingness to work harmoniously with all personnel;
  • Must be able to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and the general public;
  • Must have patience, cheerful disposition, and enthusiasm handling difficult situations;
  • Medical terminology is required;
  • Knowledge of coding and filing systems is required;
  • Must be accurate, organized, and be detail oriented.

Abilities Required:

  • Must be knowledgeable of the processes and able to be responsible/accountable for follow-up of all tasks;
  • Must be comfortable in addressing residents/families to discuss and explain financial obligations;
  • High level of computer skills is necessary;
  • Must have excellent knowledge of rules of grammar, spelling, and punctuation;
  • This position requires that the employee is able to read, write, speak and understand the spoken English language to ensure the safety and well-being of our residents and visitors at the work site when responding to their medical and physical needs;
  • Must be able to push, pull move and/or lift supplies and equipment Max. over 50 lbs.
